PM Coordinator

POSITION SUMMARY
The PM Coordinator is responsible for dispatching PM’s scheduling service with vendors and clients.

ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to the following:

Daily:
• Keep emails organized
• Inbound/Outbound phone calls/Answering Group Line
• Communicate effectively with vendors, client and managers
• Dispatch assigned work orders (Set pricing will be provided by the Manager, per client)
• Manage Individual Follow-Up Que
• Check client ETA’s on each work order (30 day completion)
• Maintain consistent contact with vendors updates/invoices/checklists/assets/photos
• Update clients consistently on work order status via email or through their software system
• Finding errors in pricing and obtain corrections
• Negotiate rates with vendors
• Manage/maintain profit percentage set by Manager
• Create work found on PM tickets & assign to designated coordinator
• Understand the basic mechanical operations of HVAC and refrigeration units
• Work with the accounting department to resolve any billing errors
• Assist other Dispatch/Coordinators & Supervisors as needed – certain status’ provided by Manager

Weekly/Bi-Weekly:
• Attend bi-weekly team/company meetings

Monthly:
• Review PM forecast sheet to see what PM’s are coming up for the following month

As Needed:
• Utilize the PM reference guide
• Enter new PM locations to the schedule (FE & Program)
• Recruiting for new PM vendors (reactive/proactive)
• Update PM schedule maintenance program
• Complete Quarterly/Annual self-evaluations
• Attend in office/off site training/team/company meetings
• Assist other Dispatch/Coordinators & Supervisors as needed – certain status’ provided by Manager
