The Dispatch position is responsible for dispatching assigned work orders, scheduling with vendor/client.

The essential functions include, but are not limited to the following:

● Keep emails organized
● Inbound/Outbound phone calls/Answering Group Line
● Communicate effectively with vendors, client and managers
● Check client ETA’s on each work order
● Dispatch assigned work orders (look in the history of previous work) – scheduling with vendor/client
● Proactively and/or reactively, sourcing technicians in various trades across the country to support the operational needs of the company.
● Maintain consistent contact with vendors to meet appropriate ETA’s (time frame window for service)
● Update clients consistently on work order status via email or through their software system
● Negotiate rates and prices for labor/travel charges
● Understand the basic mechanical operations of HVAC and refrigeration units & understanding of the request
● Update vendor profiles on any changes/updates (rates, service area, color, organizational notes)

• Attend bi-weekly team/company meetings


As Needed:
● Other duties as assigned based on needs of the Company
● Recruiting for new vendors as needed (reactive/proactive)
● Updating Asset information (alert sent by Coordinator)
● Complete Quarterly/Annual self-evaluations
● Attend in office/off site training/team/company meetings
● Assist other Dispatch/Coordinators & Supervisors as needed (certain status’ assigned by Manager)
○ Assist PM team with dispatching – as long as there are no reactive service calls
