Client Coordinator

The Client Coordinator is responsible for all aspects of vendor relations and coordinating client services.

The essential functions include, but are not limited to the following:

• Keep emails organized
• Inbound/Outbound phone calls/Answering Group Line
• Communicate effectively with vendors, client and managers
• Check client ETA’s on each work order
• Manage Individual Follow-Up Que
• Maintain consistent contact with vendors updates/quotes/invoices/checklists/assets
• IVR Check In/Out, Update Double Systems – Update clients consistently on work order status
• Approve Client NTE
• Finding errors in quotes and obtaining corrections
• Enter vendor/client quotes into Facilities Exchange
• Negotiate rates and prices for labor/materials
• Manage/maintain profit percentage set by Manager
• Understand the mechanical operations of HVAC and refrigeration units
• Fix accounting issues

• Attend bi-weekly team/company meetings

• On call rotation

As Needed:
• Dispatch assigned work orders (look in the history of previous work) – scheduling with vendor/client
• Recruiting for new vendors as needed (reactive/proactive)
• Assist other Dispatch/Coordinators & Supervisors as needed
• Complete Quarterly/Annual self-evaluations
• Attend in office/off site training/team/company meetings
