Job Summary:Â
The Client Coordinator plays a vital role in ensuring efficient communication, project management, and financial accuracy within the organization. They meticulously maintain communication channels, supervise vendor interactions, and proactively identify potential issues, all while contributing to the company’s profitability. The Client Coordinator’s duties encompass daily email management, call handling, vendor/client liaison, project monitoring, and financial oversight. Additionally, they actively participate in team meetings, self-evaluations, and training sessions, fostering a collaborative and growth-oriented environment.Â
Duties/Responsibilities:Â
The essential functions include, but are not limited to, the following:Â
- Efficiently manages the Individual Follow-Up Queue to ensure task completion.Â
- Demonstrates a solid understanding of HVAC and refrigeration systems to provide informed support and issue identification.Â
- Facilitates effective communication among vendors, clients, and managers to ensure project alignment and timely completion.Â
- Resolves accounting issues as required to maintain financial accuracy and compliance.Â
- Secures cost-effective rates for labor and materials, in line with profit percentage targets set by the manager.Â
- Identifies and rectifies errors in quotes promptly, safeguarding financial integrity.Â
- Efficiently dispatches work orders, leveraging historical data to schedule vendor and client appointments.Â
- Takes charge during assigned on-call rotations to ensure operational smoothness and responsiveness.Â
- Provides clients with timely updates on work order status through Interactive Voice Response (IVR) check-ins and clear communication.Â
- Handles inbound and outbound calls proficiently, including answering group calls and directing inquiries.Â
- Reviews and approves client Not to Exceed Rates (NTEs) for accuracy and compliance.Â
- Maintains regular contact with vendors, actively seeking updates, quotes, invoices, checklists, and assets for project management.Â
- Actively participates in bi-weekly team and company meetings, sharing insights and knowledge.Â
- Offers support to other Dispatch/Coordinators and Supervisors as necessary, fostering a collaborative team environment.Â
- Proactively or reactively sources new vendors to meet client needs and build a reliable provider network.Â
- Maintains an organized email system, ensuring prompt responses (within 24 hours) and clear communication.Â
- Actively engages in in-office and off-site training sessions, team meetings, and company events to stay informed, acquire new skills, and contribute to a culture of continuous learning.Â
- Regularly completes quarterly and annual self-evaluations, identifying areas for improvement and setting growth goals.
Required Skills/Abilities:Â Â

Education and Experience:Â
- High school diploma or GED equivalent.Â
- At least two years of related experience is required.Â
- Previous experience in a customer service or client-facing role preferred.Â
Physical Demands:Â
- Continual periods of sitting at a desk and computer.Â
- Frequently reaching for files and documents, bending to file papers, and twisting to answer phone calls.Â
- Extensive use of hands and fingers for typing, writing, and using a computer mouse.Â
- Occasionally lifting and carrying moderate weight (up to 25 pounds) of files, binders, and office equipment.Â
- Extensive use of close vision, distance vision, and the ability to adjust focus.
Work Environment:Â
- Working in an office environment with standard lighting and temperature control.Â
- Some background noise from colleagues, phones, and printers, but generally quiet working conditions.Â

Base Salary:
$20/hr – $23/hr
